Participant Guidelines and Processes

PentaSport will be hosting weekly sessions that require pre-registration. Since the activity, facility and members are expected to change weekly, the following participant process has been developed. We have included the protocols that will be followed from registration to post-session feedback survey below.

Registration Period 

Open up to two weeks in advance of session date, up until the Sunday before session

  • Registration form will capture name and contact information required for contract tracing (e.g. name, email, phone number)
  • Registration will be capped at a total number of participants which will allow for physical distancing during the session (the lesser of facility capacity or BC Phase 3 Restart Plan maximum of 50 people, including LRs and Activity leads.)
  • Participants will have access to and be expected to review PentaSport Return to Play guidelines PRIOR to registration
  • Participants will be asked to sign a preliminary waiver (Appendix A) with information relating to possible and confirmed COVID-19 exposure and contact

Registration or Waitlist Confirmation

Received immediately upon registration

  • The email will include the Return to Play guidelines in addition to relevant reminders about physical distancing requirements, personal hygiene, on-site registration process and rules (ie. no spectators)
  • Reminder to registrants about notifying the Organizing Committee ([email protected]) ASAP to adjust registration status, particularly if it is due to a suspected or confirmed exposure to COVID-19

Day-of Email and Waiver

Received day-of the session and to be electronically signed by 3:00 PM at the latest

  • Confirm venue, arrival time, and registration process details and reminders including: 
    • What to expect (ie. where to enter, mask guidance, hand sanitizer upon arrival, temperature check, follow LR directions)
    • Come prepared (ie. change in advance, bring your own water, minimize personal belongings)
  • Additional day-of waiver (Appendix B) to be signed electronically

Day of Arrival

  • Participants will check-in with LRs upon arrival 
    • Participants will sanitize hands
    • LRs to ensure the participant is registered and that the waiver has been signed
    • LRs to take their temperature and record it
    • LRs to provide guidance on where to wait/stand prior to the start of the session
  • Signage at registration to remind participants about mask guidance and social distancing requirements
  • In the case that PentaSport does not have sufficient equipment to allow for small group activities, participants will be asked in the registration form if they can bring their own equipment. In the case that it is required and brought on-site, it will be sanitized at registration.

During the Session

  • Physical distancing is expected to be maintained throughout the session
  • No competitive games will be played (ie. no scores or formal games will be played). Drills and activities can cover fundamental movement skills and modified training activities and drills. There will be no contact activities.
  • Equipment will be minimized. If it is absolutely necessary, it will be sanitized by LRs before, during and after each session. 
  • Halfway through the session, participants will be given a break during which they will be encouraged to wash and/or sanitize hands. LRs will provide instructions to ensure that participants are able to maintain social distancing
  • Activity leads will be encouraged to wear masks, especially if the activity will require coaching, correction or close-contact
  • To reduce the need to project or stand close to participants, the activity lead will be provided with a portable microphone with a disposable mic cover

Wrap Up/Departure

  • All participants are expected to depart from the venue immediately after the session and to avoid loitering in or around the parking lot or entrance of the venue
  • LRs will remind participants to collect any belongings, pre-sanitize any equipment prior to returning and encouraged to wash and/or sanitize their hands
  • LRs will provide verbal instructions on the flow and direction of exit from the venue
  • LRs will remind participants that a feedback survey will be sent out and encourage participants to complete it

Between Sessions

  • Sessions in the same venue will be scheduled with at least 15 minutes in between to allow for time to sanitize and to ensure the groups do not mix or cross paths
  • Equipment will be resanitized by LRs
  • LRs will ensure that all personal belongings have been collected
  • OC will inquire with facilities about cleaning and sweeping floors (what equipment is available, what is permitted to be used or what cleaning will be performed by the facility staff)

After Sessions

  • Feedback surveys will be sent to all participants within 2 days after the session
  • Questions seek to understand the effectiveness of communication, coordination and health and safety measures in place, and how measures can be improved upon
